Assistant, PMO Workshop administrator - 1 year contract

Job purpose:

  • Support the administrative activities for managing our workshop logistics
  • Temporary role – 1 year

Job responsibilities:

  1. Support workshop venue bookings
    • Book and setup rooms in CCEP locations
    • Arrange facilities and setup calls for virtual attendance
    • Support the booking of any offsite venues
    • Ensure the correct facilities are available in the room (conference equipment, screens, post-its, markers, etc)
    • Arrange any catering as needed
    • Arrange access onto the CCEP site for participants
  2. Support the travel arrangements
    • Arrange travel for CCEP team
    • Support any travel co-ordination with SI participants
  3. Support the diary management for the workshops
    • Create the workshop invites aligned to the designated attendees and workshop plan
    • Manage the tracking of attendances and declines, reporting to the workshop facilitator
    • Manage any rescheduling of workshops as needed
    • Support the setup of any follow-up calls as needed and the attendance thereof
    • Distribute any pre-reads or outcome documentation as directed by the workshop facilitator

Requirements:

  • Fluent knowledge of English language
  • Knowledge in Microsoft Office tools like MS Outlook, MS Powerpoint and MS Excel 
  • Optimal would be some experiences in Project Management 
  • Good knowledge in Microsoft Office tools 
  • High level of drive, energy, resilience and a desire for professional excellence
