The Travel and Expenses Sr. assistant will be responsible for working as part of a multinational team to ensure best in class practice and service is always delivered following exceptional standards to all business service lines.

Specifically the job holder will be responsible for monitoring and enforcing the T&E compliance, including actively contributing to the project on transformation of the Concur Audit service. They will perform analysis on transactions, payments and refunds and follow up to ensure CCEP policies and procedures are adhered to. They will also provide T&E trainings upon need/request and deliver STP T&E service excellence to the business. As an expert they will act independently as a second level of escalation on the complex T&E cases/exceptions. Based on root cause analysis they will work towards permanent solutions and process enhancements.


Key contributions

Financial Services Delivery

•    Deliver high quality services to all internal and external customers 
•    Ensure that Coca-Cola Europacific Partner’s (“CCEP”) travel and expenses policies are adhered to (e.g. approvals, financial guidelines, etc.)
•    Provide expert knowledge on T&E processes, systems and policy application, acting as a second level of escalation
•    Handle T&E cases within the newly implemented STP On-line tool
•    Analyze and document root causes of problems related to T&E
•    Maintain Concur accesses for audit and reporting purposes
•    Establish efficient process on collecting T&E due amounts to ensure KPIs are reached
•    Concur Audit Project contribution:
  

 Support the transformation of the Concur Audit service (to be moved to Concur as per the new contract)
    Establish stable process to reflect CCEP compliance targets
    Monitor and analyze the monthly results
    Propose the adjustments needed (in CCEP policy, Concur system, travelers’ behaviors, etc.)
•    Enforce timely submission of expenses
•    Enforce timely approval of expenses
•    Responsible for processing and controlling of Advance Travel payments
•    Create various ad hoc reports and perform analysis as required
•    Lead trainings on T&E systems
•    Work to ensure the achievement of customer service requirements as defined by both formal Service Partnership Agreements as well as Customer Satisfaction surveys

Relationships

•    Build strong relationships with key stakeholders in the Business Unit
•    Work and liaises closely with BU Finance teams and other departments where required
•    Maintain strong partnership with AP Service Desk (first point of contact for T&E queries) and lead the meetings as per agreed schedule
•    Work proactively with colleagues across the SSC to ensure an integrated approach to service delivery

Continuous Improvement

•    Provide feedback and support in driving end-to-end standard T&E processes 
•    Proactively improves the quality of T&E through identification and resolution of issues leading to ideas for continuous improvement of T&E processes
•    Based on root cause analysis they will define permanent solutions and process enhancements

Requirements:

•    Preferably 1 year in a finance team in a multinational organization and Shared Services environment
•    A basic understanding of wider Finance area and specific knowledge of Travel and Expenses processes
•    Concur experience or other travel and expenses system 
•    Advance knowledge of Excel and basic Microsoft office tools
•    ERP experience essential, preferably SAP (FI module)
•    English : Advance writing and fluent conversation skills

•    German: Advance writing and fluent conversation skills
•    Strong customer service orientation
