Qualifications


  • Bachelor's Degree in Facilities Management, Engineering, Occupational Safety and Health, Business Administration, Property Management, or related field.
  • Safety Officer certification in accordance with local regulatory requirements.
  • Pollution Control Officer (PCO) certification is preferred or willingness to obtain certification.

Professional Experience


  • Minimum 5 years of experience in Facilities Management, Administration, Workplace Services, Safety and Compliance, or a related function.
  • At least 2-3 years of leadership experience managing facilities operations, vendors, and workplace safety programs.
  • Proven experience overseeing office maintenance, workplace projects, renovations, or construction activities.
  • Experience managing third-party service providers such as security, janitorial, maintenance, and building management vendors.
  • Experience handling government compliance requirements, audits, inspections, and report submissions.
  • Experience managing fixed assets, office equipment, and inventory control processes.

Technical Skills


  • Strong knowledge of Occupational Safety and Health (OSH) regulations and workplace safety standards.
  • Understanding of building operations, facilities maintenance, workplace administration, and space planning.
  • Familiarity with PEZA, local government, environmental, and workplace compliance requirements.
  • Knowledge of vendor contract management, procurement processes, and budget administration.
  • Ability to manage facilities-related projects, including office renovations, fit-outs, and construction activities.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Experience maintaining facilities records, permits, compliance documentation, and regulatory reports.

Preferred Qualifications


  • Certified Safety Officer (SO4 or higher).
  • Certified Pollution Control Officer (PCO).
  • Experience supporting multinational, shared services, BPO, or corporate office environment.
  • Experience managing workplace health, safety, and environmental programs.
  • Familiarity with ISO standards, business continuity, and emergency response planning.

YOUR ROLE


Ensures the organization’s facilities are safe, functional and efficient by overseeing daily maintenance requirements and major construction projects, managing budget, coordinating with external vendors and its staff and ensuring compliance with regulatory requirements on health and safety in the workplace.

Duties and Responsibilities

·      Develops and implements waste management, parking allocation, use of facilities, health & safety policies and procedures and monitors compliance to these policies
·      Negotiates contracts with third party vendors for security, facilities, janitorial, and maintains records of contract and payments.
·      Regularly reviews and evaluates vendor service performance and communicates issues with vendors.
·      Conducts regular inspection of the office areas and equipment to identify maintenance and repair needs
·       Coordinates with external vendor staff to ensure facilities-related concerns such as repair, security, cleanliness are promptly addressed
·      Manages the inventory and replenishment of maintenance, pantry, safety supplies and company products (drinks)
·      Coordinates with building administrators for building activities & schedules and communicates these to the Management Team
·      Reviews workstation capacity vs headcount and revises seat assignment if necessary
·      Oversees the planning and execution of construction projects and works with the building administrator to comply with document requirement and get the proper permits
·      Manages the inventory and reporting of fixed and IT related assets to PEZA , reordering assets (mobile phone, keyboard, headset, mouse ) with vendors and issuance of asset / accountability forms to all employees
·      Completes required training for Safety Officer and Pollution Control Officer certification and performs the role in compliance with regulatory requirements
·      Conducts annual occupational safety and health training of all new employees within prescribed period and monitors compliance
·      Keeps abreast with new government regulatory requirements in building code standards, occupational safety and health and revises policies and procedures to comply with these.
·      Oversees the OSH committee and ensures compliance with monthly meetings and documentation
·       Manages random inspection of government bodies on building requirement compliance and addresses findings.
·      Releases communication of all employees on facilities-related announcements, direction, updates
·      Submits mandatory facilities and safety monthly, quarterly and annual reports to government agencies.
