Vendor Request Management Assistant

Job Purpose

The Shared Services Vendor Request Management  Assistant will identify and respond to internal and external customer’s needs in connection with vendor Request Management  requests in CCEP. The role will manage the day-to-day operational activities handled by the Vendor Request Management  Team, as well as submitting new vendor code requests for creation, extend, change and amend of current vendor details as part vendor Request Management  activities.

They will be responsible for handling vendor related quires received as e-mails, from employees, vendors and approved third parties, ensuring data deficiencies are resolved in a timely manner. 

The position will be tasked with driving and delivering STP service excellence to the business with an emphasis on customer service and continuous process improvement to further enhance the STP service level and effectiveness expected throughout. The role will support Request Management  activities and ensure successful delivery of all VMD In-Scope activities to the business stakeholders.

Key Responsibilities

  • Gathering of relevant mandatory information where missing

  • Verification and confirmation of the provided vendor details

  • Capture and recording of enquiries, including creation of a request, with all necessary information and relevant business details for the queried transactions

  • Outbound communication on behalf of the STP team (e.g. all user notices, mass supplier communications, missing invoice requests, supplier statement requests etc.)

  • Provides support to other team members where required

  • Ensures the setup of vendor records by BPO is both accurate and undertaken in an efficient and timely manner. This includes coordination of mass updates when needed

  • Coordinates sample checks on CapGemini Request Management  record creation and maintenance

  • Supports the establishment of and monitors adherence to policies regarding Request Management  additions and changes

  • Manages the escalation of outstanding data requests, whether from Cap Gemini or the business

  • Ensures that CCEP’s policies are adhered to (e.g. approvals, financial guidelines, etc.)

Experience required

  • Minimum of 1 year in a Purchase to Pay/Request Management  environment  in a multinational organisation and/or Shared Services environment

  • Experience of creating, managing and analysing records/data through computerized systems,  ideally in multinational organisation and/or Shared Services environment

  • Ability to analyse financial information and provide solutions to issues

Language Capability & expert level

English : essential PLUS one other CCEP language

Education & Qualifications required

  • University degree

  • Strong knowledge of SAP and other enabling technologies

  • Good understanding of business processes
